WhatsApp Utility Messages for F&B Chains: Bookings, Reminders & Loyalty Without App-Switching

WhatsApp Utility Messages for F&B Chains: Bookings, Reminders & Loyalty Without App-Switching

by Sanuker Team | May 2026

Booking and reminder messages can be free utility templates inside WhatsApp’s 24-hour customer service window. Learn the line between free utility and paid marketing.

Many guests already book a table by phone or by messaging the restaurant on WhatsApp.

If you want to make that experience smoother, bring in new guests, and stay close to regulars, you can connect WhatsApp to your own systems through its official API. The messages are cheap to send, and sometimes free, when they’re the right type.

This article shows how to use those messages to give guests a complete booking experience, and how the pricing works so the channel stays close to free instead of quietly expensive.

Utility messages and marketing messages

WhatsApp sorts business messages into types. Two are used most in F&B:

  • Utility messages follow up on something a guest did: a booking, an order, a payment.
  • Marketing messages promote something: an offer, a new menu, a reason to come back.

Most go out as templates, which are pre-approved message formats you register once and then send automatically. The price of each message depends on its type, the guest’s country, and how many you send.

There’s also a free window. When a guest messages you first, a 24-hour “customer service window” opens. Inside it, your free-form replies and your utility messages are free, and each new message from the guest resets the 24 hours. Marketing messages are the exception: they’re charged even inside this window. (The one case where a marketing message is free is a separate 72-hour window, covered below.)

Bookings and reminders are utility, and often free

In a restaurant, utility covers more than people expect:

  • Reservations: confirmation, a reminder the day before, a reminder an hour before, and change or cancellation notices.
  • On the day: waitlist position, “your table is ready”, “your takeaway is ready”.
  • Admin: deposit received, bill settled, pre-order confirmed.

These are usually cheap because a booking starts with the guest messaging you. That opens the 24-hour window, so the confirmation and reminders go out free. After the window closes they still bill at the utility rate, which is lower than marketing, and that rate drops further as your volume grows.

Loyalty and promotions are marketing

Restaurants send plenty of marketing too: weekend deals, a new menu, a members’ discount, a “we miss you” offer. These are marketing messages, paid from the first send. That’s fine, because they bring guests back. You just want to know when you’re sending one, so you can budget for it.

The line is easy to cross by accident. “Your table is booked for 7pm” is utility. Add “15% off your next visit” and the whole message becomes marketing.

“Your table is booked for 7pm” is utility. Add “15% off your next visit” and the same message becomes marketing.

Since 9 April 2025, WhatsApp checks this for you. Submit a promotion as “utility” and it gets approved and billed as marketing anyway. So keep each message to one job.

How to set it up

Three habits keep costs predictable:

  • Keep utility messages clean. No offer attached, so they hold their low or zero cost.
  • Send promotions as their own marketing messages, budgeted on purpose.
  • Use the free windows. Reply inside the 24-hour window to keep utility and service messages free. And when a guest reaches you through a “book a table” Click-to-WhatsApp ad, a separate 72-hour window opens where every message is free, including marketing.

Frequently asked questions

Are WhatsApp booking confirmations free?

Inside an open 24-hour customer service window, yes. Outside it, they bill at the lower utility rate, not the marketing rate.

What’s the difference between a utility and a marketing message?

Utility follows up on something the guest did (a booking, an order, a payment). Marketing promotes something (an offer, a new menu, a reason to return). The type sets the price.

Are marketing messages ever free?

Inside the normal 24-hour window, no, only utility and free-form replies are free there. Marketing is free only in the 72-hour window that opens when a guest reaches you through a Click-to-WhatsApp ad or Facebook Page button.

Can a loyalty message count as utility?

Usually not. Any promotional element, such as a discount or a code, makes it marketing. A plain transactional update with no offer stays utility.

Do guests need to download anything?

No. Guests use the WhatsApp they already have. The business side runs on the WhatsApp Business Platform (API), which is what allows automated reminders and template messaging at scale.
